New Hire Guide

Onboarding Checklist
  1. Complete Penn Onboarding in Workday — Log in to Workday to complete new hire paperwork, set up direct deposit, and review your benefits options.
  2. Set up your PennKey — Your PennKey is your Penn login for systems like Workday, email, and library access. Activate it at ISC PennKey Support.
  3. Set up Penn Medicine (PMACS) credentials — Your PMACS account gives you access to Penn Medicine email, network drives, and research computing resources. Contact the PMACS Help Desk.
  4. Get building access — Contact I3H Facilities (i3h-admin@pennmedicine.upenn.edu) to arrange keycard access for 3600 Civic Center Blvd.
  5. Connect to WiFi — Use AirPennNet (PennKey) or PennMedicine WiFi (PMACS credentials). See the WiFi Instructions page for setup guides.
  6. Complete required trainings — Log in to Workday LMS to complete mandatory compliance trainings (HIPAA, lab safety, etc.).
  7. Review the PSOM New Hire Manual — Key policies, resources, and expectations for new PSOM employees.
  8. Attend I3H Orientation — Contact i3h-admin@pennmedicine.upenn.edu to schedule your I3H-specific orientation.

We are so excited for you to be a part of our team at the Institute for Immunology and Immune Health! Below is a helpful guide with your onboarding process.

You should begin receiving emails from Penn’s Information Systems & Computing (ISC) with instructions to set up your PennKey and enroll in two-step verification, as well as from Workday@Penn with initial onboarding tasks.

Here’s some key info to keep handy:

  • PennID and PennKey: These are unique identifiers tied to your employment at the University. They are essential for setting up system access and gaining building entry. Once finalized, please keep a record of these for onboarding and future reference.
    • PennID #: [Insert when available]

Please note the passwords you use for each system will be different. Pennkey should be the first password you create and will not change. Your PMACS password is identical to your UPHS passwordYou will use your Penn Medicine email address as your username for accessing email on Outlook and use the Microsoft tools available in Penn Medicine O365

Penn Directory: Update your information in the Penn Directory.

Dashlane password manager is provided free for faculty and staff and can help keep track of your password management.
